How to integrate uploaded docs into the portal

Basics


OKA portal is created with the best open source Content Management System Plone. All common portal folders areĀ  just search criteria over documents uploaded by portal members in owned folders. The technology is called Smart Folder in Plone and makes it very easy to organize group work over shared documents. Criteria in each smart folder are tuned to search keywords assigned to member's documents.


Member's document integrating


To make a document to appear in a desired smart folder a member is to:

  1. upload the document into own folder,
  2. assign keywords specific for the folder to the document in section "properties". The list of keywords separated by condition operator (OR - |, AND - &) is shown in description of each common smart folder.
Keywords specific for some folders can be assigned to make document to appear in some folders. Please be laconical, don't litter about the folders, one folder is enough to refer document in most cases.

One of the main goals of the portal is to provide a groupware for OKA collaborators, so ease of use and flexibility lead portal maintenance and development. New smart folders in the navigation tree are added by portal members' requests and respective search criteria are added as well to fetch members' documents assigned by new keywords. In the case the procedure above is changed to one:
  1. upload the document into own folder,
  2. add new keywords by section "properties" to the document,
  3. contact to portal administrator either by email or by portal contact form and ask to add new item in the navigation tree with added keywords for search criteria. New item name and new keywords are to be pointed necessarily;
